Booking and Confirmation

All bookings are subject to availability and will only be considered confirmed upon receipt of the required deposit and written confirmation from Milride Africa Adventure and Safaris. Clients are responsible for providing accurate personal, travel, and contact information at the time of booking. Once a booking is confirmed, any amendments requested by the client may be subject to availability and additional charges.

Payment Terms

A deposit of 20%–30% of the total safari cost is required to confirm all bookings. The remaining balance must be paid at least two (2) weeks before the safari start date. Alternatively, subject to prior agreement with Milride Africa Adventure and Safaris, clients may settle the outstanding balance in cash upon arrival before the safari commences. Any bank transfer fees, currency conversion charges, or other transaction costs shall be borne by the client. For bookings made within fifteen (15) days of the safari departure date, full payment is required at the time of booking to secure all services and reservations.

Cancellation Policy

All cancellations must be submitted in writing and will only be effective upon receipt by Milride Africa Adventure and Safaris. Cancellation charges will apply based on the date the written cancellation is received:

Note: All cancellations must be submitted in writing. Any approved refunds will be processed within 60 days, subject to any non-refundable costs incurred with hotels, airlines, national parks, or other third-party service providers.

Changes to Itinerary

Milride Africa Adventure and Safaris reserves the right to modify, adjust, or substitute any part of the itinerary, including accommodations, transport, routes, activities, or timing, where necessary due to weather conditions, wildlife movements, safety concerns, government regulations, or other circumstances beyond our control. In such cases, the company will make every reasonable effort to provide suitable alternatives of similar standard to ensure the safari experience is not compromised. Any changes requested by the client after confirmation may be subject to availability and additional charges.

Travel Documents

Clients are solely responsible for ensuring they possess valid travel documents for their journey, including passports, visas, vaccination certificates, travel insurance, and any other permits or documentation required by relevant authorities. All documents must be valid for the entire duration of travel, and any costs, delays, or losses arising from incomplete, expired, or incorrect documentation shall be the responsibility of the client, not Milride Africa Adventure and Safaris.

Travel Insurance

Comprehensive travel insurance is strongly recommended for all clients booking with Milride Africa Adventure and Safaris. The insurance should adequately cover, but not be limited to, medical emergencies, personal accident, emergency evacuation, trip cancellation or interruption, and loss or damage of personal belongings and baggage. It is the client’s responsibility to ensure that their insurance policy is valid for the entire duration of the safari and covers all planned destinations and activities. The company shall not be held liable for any costs, losses, or emergencies arising from a lack of adequate travel insurance coverage.

Health and Fitness

Clients are responsible for ensuring that they are medically and physically fit to participate in the safari and related activities. Any pre-existing medical conditions, allergies, dietary requirements, or special assistance needs must be communicated to Milride Africa Adventure and Safaris at the time of booking. It is recommended that clients seek medical advice before travel to confirm fitness for travel, especially for activities such as game drives or high-altitude visits. The company shall not be held liable for any health-related issues arising during the safari that result from undisclosed conditions or lack of fitness for travel.

Liability

Milride Africa Adventure and Safaris acts solely as an intermediary between clients and third-party service providers such as hotels, airlines, transport operators, and other suppliers involved in the safari arrangements. While the company takes all reasonable care in selecting reputable partners, it shall not be held liable for any loss, injury, damage, delay, accident, illness, or irregularity that may occur due to acts, omissions, negligence, or defaults of such third-party providers, or due to circumstances beyond its control, including but not limited to natural disasters, weather conditions, political unrest, strikes, or force majeure events. Clients participate in all safari activities at their own risk.

Conduct

Clients are expected to behave responsibly and respectfully at all times during the safari, including adherence to local laws, wildlife regulations, cultural norms, and the instructions provided by guides and company representatives. Any conduct deemed unsafe, disruptive, or unlawful, or that puts other clients, staff, wildlife, or property at risk, may result in the termination of the client’s participation in the safari without any refund. Milride Africa Adventure and Safaris reserves the right to take necessary action to ensure the safety and well-being of all participants and service providers.

Wildlife Viewing

Please note that all wildlife in national parks and reserves roam freely in their natural habitats, and as such, specific animal sightings cannot be guaranteed. However, Milride Africa Adventure and Safaris is committed to offering you the best possible game viewing experience, guided by experienced professionals who understand animal behavior and the best viewing locations and times. We kindly ask guests to follow all park regulations and the guidance of our safari guides at all times, ensuring both your safety and the protection of the incredible wildlife and ecosystems you will be exploring.

Photography and Marketing

During your safari experience, Milride Africa Adventure and Safaris may capture photographs or videos that include guests for use in our promotional materials, including websites, social media platforms, brochures, and other marketing channels. These materials help us showcase authentic safari experiences to future clients. If you prefer not to appear in any promotional content, kindly inform us in writing before your travel date, and we will fully respect your preference.

Safari Hours, Travel Time & Daily Operations

Please note that safari activities are conducted in accordance with park regulations and natural conditions. Most national parks open daily at 6:00 AM and close at 6:00 PM, and game drives are generally scheduled within these hours when wildlife is most active. Typical daily game drives range between 5 and 8 hours, depending on the itinerary and wildlife sightings. Inter-park and inter-camp travel times may vary based on distance, road conditions, weather, and park entry procedures, and are generally estimated between 2 to 6 hours per transfer. While we strive to adhere to the planned schedule, all safari timings remain flexible and may be adjusted by your guide to maximize wildlife viewing opportunities, ensure guest safety, and respond to unforeseen circumstances such as weather or park regulations. Additionally, special activities such as night game drives or other exclusive experiences may be arranged and scheduled upon request, subject to park rules, availability, and applicable fees. Clients are kindly advised that travel in East Africa may involve long driving distances, which form part of the authentic safari experience.

Complaints

We are committed to providing you with a smooth and memorable safari experience. In the unlikely event that you have any concerns during your trip, we kindly encourage you to raise them immediately with your guide or our company representative so that we can address and resolve the issue promptly. If the matter is not resolved to your satisfaction, a formal complaint may be submitted in writing within 14 days after the completion of your safari, allowing us to thoroughly review and respond in a timely and fair manner.

Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of Kenya. Any disputes, claims, or matters arising out of or in connection with these terms or the services provided by Milride Africa Adventure and Safaris shall be subject to the exclusive jurisdiction of the courts of Kenya.

Acceptance of Terms

By confirming a booking and/or making any payment to Milride Africa Adventure and Safaris, the client acknowledges that they have read, understood, and agreed to be bound by these Terms and Conditions in full. This acceptance applies to all individuals included in the booking, and the person making the reservation confirms that they have the authority to accept these terms on behalf of all travelers in the party.

Milride Africa Adventure and Safaris reserves the right to amend these Terms and Conditions at any time without prior notice.
